How we use Receiptflow
Receiptflow is the receipt capture app we use with clients to keep bookkeeping accurate without the admin: less chasing paperwork for you, less re-keying for us.
What Receiptflow does, for you and for us
Receiptflow lets a client photograph a receipt, forward an email invoice, or upload a PDF the moment they receive it. From there, every feature is built to save time on both sides of the relationship:
- Capture on the go: snap a photo, forward an email, or drop in a PDF. You never have to keep a shoebox of paper, and we never have to chase you for it.
- Automatic data extraction: supplier, date, amount and VAT are pulled out automatically. No manual re-keying on your end, no transcription errors to catch on ours.
- Direct feed to our bookkeeping team: your records land with us as they happen, so your bookkeeping stays current all year rather than being reconstructed in a rush before your accounts are due.
- Automatic categorisation: transactions are sorted into the right category from the start, so you get a clearer running picture of your expenses and we spend fewer billable hours coding transactions by hand, which keeps our fixed fees fair.
How working together feels
On your side: you photograph or forward a receipt and move on with your day. That's it. On our side: the data arrives already extracted and categorised, ready to post straight into your accounts. Neither of us is waiting on the other, and nothing gets lost in between. VAT on purchases is captured correctly and consistently, which also reduces errors on your VAT return, and the digital, timestamped records it produces are exactly what HMRC expects under Making Tax Digital.
How Claritax uses it with clients
We set every client up on Receiptflow as part of onboarding if they want it, and our team monitors incoming receipts to flag anything that looks off before it reaches your accounts. It's not a requirement of working with Claritax (we're happy to work with whatever system you already use), but for clients who'd rather not deal with expense admin, this is how we make that happen.
